Employee self-identification in Workday

To advance the university’s teaching, learning, and research objectives Ohio State receives funds from the federal government in the form of service contracts, research funds, and grants. As a federal contractor, Ohio State is required to report on the sex, race, and ethnicity of our employees to assess whether our recruitment, retention, and other employment processes are effective at ensuring equal employment opportunity.

To ensure we have complete and accurate data for our required compliance reporting, Ohio State asks employees to self-identify their demographics in Workday.

To update your demographic information, please follow these steps:

  1. Login at workday.osu.edu
  2. Access your profile using the profile menu (Click the icon at the top right of the page)
  3. Click "View Profile"
  4. Scroll down and click on “Personal” in the box on the left-hand side of the screen.
  5. Click “edit” in Personal Information section.
  6. Update the form as needed and click “submit” at the bottom of the page.

Do I have to self-identify?

The decision to self-identify sex, race, and/or ethnicity is strictly voluntary, and there are no consequences for not self-identifying.

Who has access to my information?

The university treats all self-disclosed demographic information as private, but it may be used to inform EEO and diversity efforts and could be subject to public records requests.

What happens if I do not self-identify?

The decision to self-identify sex, race, and/or ethnicity is strictly voluntary, and there are no consequences for not self-identifying. However, the university is still required to report employee demographic information to the government, granting agencies, and accrediting bodies even if an individual does not voluntarily self-disclose them. If an individual does not self-identify their demographics, the university will input the information on their behalf based on post-employment records or other means the university has available.
